About the Opportunity

This position is responsible for managing the finance and administrative functions of Generations United to ensure the organization’s compliance and fiscal solvency. This includes performing basic accounting functions, managing the annual audit, developing and managing grant budgets, monitoring financial performance, preparing financial forecasts, overseeing federal contract requirements, managing information technology systems, and supervising consultants or staff for these areas, including accounting, audit, and technology firms. Works closely with other senior leaders to drive strategic financial decisions. Works closely with operations and human resource staff. Other activities include acting as liaison to the board of directors and their assistants, staffing the finance and audit committees, and assisting with conferences and special events.

Essential Functions, Duties, and Responsibilities include the following:

Accounting:

  • Responsible for fulfilling accounting duties, including processing and managing accounts payable and receivable, credit card and expense reporting, and payroll allocations.
  • Manages outsourced accounting and audit firms. Monitors and manages bank accounts and maintains relationships with account representatives and investment firms.
  • Develops and maintains internal procedures and controls to safeguard assets and ensure accurate financial reporting.
  • Develop an annual organizational budget.
  • Works with department heads to manage grant/department budgets, including monthly review meetings.
  • Supports the annual audit process and ensures completion.
  • Provides monthly financial reports to the Executive Director and facilitates monthly meetings with the accountant and Executive Director to review.
  • Develops and monitors cash flow projections.

Grants and Contract Management:

  • Works with department heads to develop grant proposals and project budgets.
  • Manages grants and contracts, including federal contracts, ensuring compliance with regulatory requirements and standards, including Uniform Guidance for Federal grants.
  • Monitors budgets and issues reports.
  • Ensures proper invoicing and timely reporting to funders, including quarterly Federal reporting and regular funding requests.
  • Communicates updated grant information to key project staff as needed. Assists with vendor selection and management. Maintains technical assistance calculator to ensure accurate rates for earned income work.

Liaison for Board of Directors:

  • Works with the board treasurer to provide financial reports for the Board meetings.
  • Provide quarterly financial statements for the Board Finance Committee.
  • Manages logistics for board meetings. Manages board book process, including reports, compilation, and deliver of board books for meetings. Staff the treasurer and finance and audit committees.

Human Resources:

  • Works with Operations Coordinator to manage employee benefits, including annual renewal. Responsible for management and compliance with retirement plans, including annual Form 5500 filing.
  • Information Technology: Manages Information Technology systems overseeing the IT needs of the organization, including equipment and software. Works with an outsourced IT company.

Other Responsibilities:

  • Work with operations and communications staff to manage the organization’s membership and annual fundraising appeal.
  • Assist with a biennial global conference. Actively apply diversity, equity, and inclusion lenses to all aspects of the work, including the use of the Racial Equity Impact Analysis tool.

Knowledge, Skills, and Abilities:

  • Minimum of five years of experience in nonprofit finance or business management (bookkeeping, grants, federal contracts, and other contracts)
  • Minimum bachelor’s degree in business, accounting, finance, or related field.
  • Excellent analytical skills.
  • Good interpersonal skills to work with others, including communicating clearly, concisely, and effectively in writing and verbally.
  • Skills necessary to manage the organization’s information systems, including basic knowledge of computers and information technology.
  • Excellent computer skills and proficiency in Microsoft Office suite, Bill.com, and QuickBooks Online accounting software.
  • Experience with non-profit grants management, including Federal grants and related compliance requirements.
  • Sound and accurate judgment with an ability to support and explain reasoning for decisions. Include appropriate people in the decision-making process; ensure timely decisions are made. Good organizational skills and the ability to handle multiple tasks.
  • Strong professional ethics, which include approaching others tactfully; reacting well under pressure, treating others with respect and consideration regardless of their status or position, accepting responsibility for their own actions, following through on commitments, and maintaining confidentiality.
  • Ability to work in a dynamic environment with some flexible hours.

Working Conditions:

  • Works in office areas. Interacts with staff, the public, consultants, and outside vendors. May be subjected to interruptions throughout the workday.

Classification: Exempt 

Status: 100% FTE 

Reports To: Executive Director  

Salary: $90,000- $100,000 annually based on experience, with excellent benefits
