About the Opportunity:
This position is responsible for administering a wide range of grants, contracts and Federal cooperative agreements, and providing other financial and administrative support for Generations United. These responsibilities include managing contracts and vendors, procurement, financial compliance, grants management, and supporting event logistics. Other activities include assisting with our biennial global conference and special events and engaging in Generations United’s Diversity, Equity and Inclusion (DEI) work.
Essential Functions, Duties, and Responsibilities include:
Contracts and Vendors:
- Research and Develop Contracts: Identify potential vendors, sub-recipients, consultants, and subject matter experts. Create and draft contract terms and conditions.
- Procurement: Secure and document competitive bids using procurement procedures that conform to applicable Federal laws and procurement standards.
- Negotiate and Finalize Contracts: Discuss and agree on contract terms with vendors and consultants. Complete and sign contracts, ensuring clarity and agreement on all terms.
- Monitor and Maintain Contracts: Oversee vendor and consultant performance to ensure compliance with contractual obligations. Update and amend contracts as needed.
- Maintain Relationships: Develop and maintain positive and professional relationships with vendors, sub-recipients, and consultants to ensure smooth operations and effective communication.
- Follow DEI Protocols: Ensure all contracting and vendor management practices are inclusive and equitable, promoting diversity and preventing discrimination.
- Organize Contract Files: Keep comprehensive and organized records of all contracts and related documents for easy access and reference.
Grants Management:
- Support Grant Oversight:
- Work with staff to submit required documentation for grant applications and reports
- Organize and participate in regular budget meetings for all grants, including kick-off, quarterly, and close-out meetings
- Develop and maintain a detailed calendar of grant deadlines
- Ensure reporting requirements are met.
- Manage Grant Compliance: Ensure that all activities and expenditures related to grants adhere to the rules and guidelines set by the grantor. This includes:
- Update accounting tracking documents: Keeping financial records accurate and up-to-date to reflect the use of grant funds.
- Manage deadlines: Ensuring all grant-related tasks, such as application submissions, progress reports, and final reports, are completed on time.
- Fulfill reporting requirements: Preparing and submitting all necessary reports and documentation as specified by the grantor to demonstrate how the grant funds are being used and the progress being made.
Knowledge, Skills, and Abilities:

- Bachelor’s degree in business, finance, or related field, and a minimum of four years of relevant work experience managing the grants and contracts process in a non-profit or similar professional setting
- Knowledge of budgeting and financial management is preferred
- Strong analytical and critical thinking skills
- Excellent computer skills and proficiency in Microsoft Office Suite
- Familiarity with grant management software is beneficial
- Sound and accurate judgment with an ability to support and explain reasoning for decisions, include appropriate people in decision-making process, and ensure timely decisions are made
- Excellent organizational skills and the ability to handle multiple tasks
- Strong professional ethics and commitment to DEI

- Ability to work independently in fast-paced office environment, some flexible hours and travel may be required
- Ability to work in the Washington, DC headquarters office with a hybrid schedule

Salary: $57,000-$65,000 annually with excellent benefits
